Problem

A light-rail tender: hundreds of apartments, each entitled to different acoustic insulation, tracked in Excel with no single place for each apartment’s file.

What I did

Learned their process, then designed one system for visits, owners, files, decisions, tasks and reports.

Key decision

Give every apartment its own space, without losing sight of the hundreds around it.

Status

Launched in 2025. I handed off the design; I wasn’t part of the build phase.

The challenge

The system was built as the operation itself was being born: right after the tender was won. There was little “before” to fix. The work was understanding a process that was still taking shape, and fitting the system to it.

One apartment, and four hundred

Each apartment needs its own file: visits, owner contact, files, decisions, status. But the team works across hundreds of them. A kanban by stage gives the whole picture; a side panel opens one apartment without leaving it.

Changing how a growing team works

Their way of working came from smaller projects. Part of the job was learning it closely and helping them agree to change it for this scale.

The system

Where every apartment stands.Stages as columns, a coloured line for what is late, and the apartment’s file a click away.

Progress and reports for managers.Per station: how many apartments, how many late, and a table of every apartment with days to target.
Dashboard with bar charts per station and a table of apartments
Tasks, tied to apartments.A task list by owner, target date, apartment and priority, so follow-ups don’t live in someone’s head.

Reflection

Designing alongside a new operation means designing a process as much as screens. Since then I agree up front with the client what my involvement in the build phase will be.
